Event Booking Procedure 

  1. Email bookingsicfpa@iicanada.net to confirm your location/facility booking (ie. WW Social Hall, etc). A volunteer will ensure there are no weddings, bayats or funerals at the same time.  

  1. Once confirmed, the Board Chair should submit the booking in the outlook institutional calendar - pendingprairiesevents@iicanada.net 

  1. Once approved by the Council, it will be transferred to the approved calendar approvedprairiesevent@iicanada.net 

 

AV Requests  

Once the event has been approved, submit a request via: https://www.cognitoforms.com/AVPrairies/PrairiesAudioVisualRequest  

This must be submitted 3 weeks prior to the event. 

If AV is being sourced privately, no request is required​. 

 

Photography Requests  

Once the event has been approved, submit a request via: 

This must be submitted 10 days prior to the event. 

Photographers follow our Institutional Photographers and Videographer Guidelines. Galleries are reviewed by the Communications & Publications team before they are released/published. 

 

Communications and Publications Submissions  

Once the event has been approved, submit all requests 10 days prior to publication date via: https://iicanada.org/national/central-processes-form 

Type of Submission:

  1. Jamatkhana Announcements
    • Announcements include: Notification of waez (or other sensitive Tariqah matters), fundraising initiatives, majalis, festivals, mayyits, samars and up to 5 Jamati progams.
    • Note that the Jamati program/event will automatically be included in the Jamatkhana Announcements.
  2. Digital Al-Akhbar & iiCanada Website/App
    • Image size: 1350X900 and 2360X900
    • Image content: Event name, artist (if applicable), brief text (example a slogan or text that would add context to the title)
  3. eBoards
    • Image size: 16x9 landscape orientation (slide)
    • Image content: Event name, artist (if applicable), brief text, event date, specific start time, venue, and ticket cost (if applicable)
  4. Social Media
    • Image size: 1080X1080
    • Image content: Event name, artist (if applicable), brief text, and date
    • If during the event, you require social media stories, please inform the team.
  5. Posters
    • Image size: Poster size 18x24”
    • Image content: Event name, artist (if applicable), brief text, date, specific start time, venue, ticket cost (if applicable) and how ticket should be purchased (if applicable)
  6. Tickets
    • Image size: Ticket size
    • Image content: Event name, date, specific start time, venue, ticket cost, terms and conditions, ticket number
  7. Email/ Text/ WhatsApp Blasts
    • Content: Brief message and the link to the iiCanada insert.
  8. Webforms
    • Content: Title, brief introduction paragraph and list of questions.
  9. Invitation, Emcee Script, Speech and Presentation
    • All invitations, emcee scripts, speeches and presentations need to be reviewed prior to the event.

Refer to guidelines: Quick Reference Guide and Institutional Style Guide. Please ensure that graphics are designed as per guidelines and the correct sizes are provided. Images should be high quality and royalty free. 

 

Finance Submissions  

Requests should be emailed to prairies.finance@iicanada.net (DV along with the backup receipts) within 30 days of the event.

Council Members should track their own budgets and every expense and Disbursement Voucher (DV) should be signed off by Council Member (unless payment is to a Council Member then a deputy can be engaged or an alternate Council Member)​ 

New Vendor's - EFT Authorization Form Required.

Budget's should be submitted to the respective Board/Portfolio member 4 weeks in advance. 

 

Risk Management Plans  

Risk Management Plans (“RMPs”) are a requirement under our insurance policy. 

They need to be submitted to the local Honorary Secretary and Legal Member, a minimum of 6 weeks prior to a local Council approved scheduled event or activity. 

RMPs are not required for small, non-Jamati facing activities or events, such as meetings that take place in the ordinary course of day-to-day institutional and tariqah related matters. 

RMPs are intended to flush out liability related issues – when in doubt as to whether an RMP is required to be submitted for a scheduled event or activity, seek clarification from the local Legal Member. 

 

Ismaili Volunteers

If the event is at a Jamatkhana, inform the Ismaili Volunteers (Amir Rajani amir.rajani@iicanada.net) once the event booking is approved.

We're currently in the process of developing an IV request form that will include specifying the required number of volunteers, their responsibilities (such as chair setup, chai making, crowd control, etc.), and the allocated shift times. Please include these details in the email to Amir.

 

Jamati MKMKs

If the event is at a Jamatkhana, inform the applicable Jamati MKMKs​, respective JK Directors and Facility Managers once the event booking is approved.

General Considerations  

No event should be considered approved until it is in the approved calendar.

Avoid conflicts and consult broadly.

All events must be sponsered by a member of the local Council. All Jamati MKMK events at individual Jamatkhanas should be approved by Headquarters Mukhisaheb.

Planning 8-12 weeks out leads to better outcomes and cross collaboration​.

Join us for a Fireside Chat with Mr. Taleeb Noormohamed, MP on March 22 in the Headquarters Jamatkhana Social Hall, after Jamati ceremonies.

The Government Speaker Series is catered towards aspiring youth and young professionals who want to explore the path of public service and running for office in Canada.

Ramadan Food Drive

This year's Ramadan Food Drive will be held from March 10 - April 8. Donation boxes can be found at all Jamatkhanas. 
 
We are coming together in light of our shared values of generosity, giving back to the communities we are a part of and helping those in need. Together, we can make a difference!
 
Suggested items include: canned vegetables, canned meat, baby food and formula, diapers (larger sizes), pasta, rice, pasta sauce, peanut butter, canned fruit, healthy snacks, soup, juice and pet food. 
 
Non-perishable food will be donated to the Calgary Food Bank and must be in its original packaging, sealed, and not expired.

ITC Drivers Needed

The Ismaili Transportation Committee (ITC) provides transportation services to the Jamat. ITC in the Prairies has primarily provided door-to-door service for our Jamati members to attend morning and evening Jamatkhana and special events.

On behalf of our Jamati and institutional leadership across Ontario, we wish you and your families a heartfelt Navroz Mubarak. 

As we celebrate Navroz, the festival signaling the arrival of a new year and the onset of spring, we extend our sincere and heartfelt wishes to the Jamat. It is a celebration of renewal and rejuvenation, and an opportunity to look to the future with hope and optimism.

On Navroz, let us rejoice in the diversity of our Jamat influenced by traditions from many parts of the world. There are many cultural variations of this festival, however the underlying themes of interconnectedness with nature and self-contemplation remain the common threads that weave the fabric of our collective heritage.

In a world marred by conflict and injustice, let Navroz serve as a beacon of hope, illuminating our journey towards a brighter future with the light of compassion and empathy. Let us extend a hand of friendship to those in need, fostering inclusivity and understanding. Let us work towards building a world where peace and justice prevail, and where every individual is treated with dignity and respect.

Stress and Healthy Coping

In conjunction with the Canadian Mental Health Association, the Stress and Healthy Coping seminar will take place on March 30 from 4:00 p.m. to 6:00 p.m. in the Headquarters Social Hall. Participants will have an opportunity to learn the following:
 
  1. What stress is, how it can be positive and negative, and what strategies and skills we can use to interpret and manage our stresses healthily.
  2. Understand the difference between external stressors and internal stressors, why the difference is important, and how to identify examples of each in our lives.
  3. Understand a faith-based approach to stress and healthy coping strategies.

Mehndi Night

A mehndi program will be held on Saturday, March 16, in all Jamatkhanas (except Generations Jamatkhana). Multi-faith family members are warmly invited to participate.

The mehndi program at Generations Jamatkhana will be held on Friday, March 15. Members of all ages are encouraged to attend!

Navroz Commemorations

The auspicious occasion of Navroz will be commemorated as follows:

  • A devotional program will take place on Saturday, March 9, at all Jamatkhanas after Jamati ceremonies.
  • Mehndi Night will be held on Friday, March 15, at Generations Jamatkhana and Saturday, March 16, at other Jamatkhanas after Jamati ceremonies.
  • Jashne Navroz will be held on Thursday, March 21, at Overflow Jamatkhana - a special invitation for youth, young professionals and multi-faith families to commemorate Navroz together.
  • Navroz Dinner and Commemoration program will be held on Saturday, March 23, at all Jamatkhanas.
Multi-faith family members are warmly invited to participate.

Temporary Jamatkhana Closure

The Jamat is advised that Jamatkhana ceremonies for Saskatoon Jamatkhana have been cancelled due to extreme weather conditions as follows:

  • Sunday, March 3
  • Monday, March 4 (morning)

The Jamat is urged to exercise extreme caution and to avoid all non-essential travel. If travel is necessary, check road conditions before leaving home.

The Council for the Prairies Institutional Fair will bring together over 15 Boards & Portfolios to each Jamatkhana to showcase how they plan to put a focus on the following strategic priorities:

  • Settlement excellence
  • Poverty elimination
  • Access to quality health care
  • Youth development

  • Jamati engagement
